2. What data we collect and why

2.1 Contact form and rental requests (cart)

When you use the contact form or send a rental request from the cart, we collect the data you enter: full name, company name, e-mail address, phone number, event name and venue, rental and return dates, the list of requested equipment and the content of your message.

We use this data to answer your enquiry, prepare a quotation and, if you decide to rent equipment, to conclude and perform the rental agreement.

Legal basis: steps taken at your request before entering into a contract and performance of the contract (Art. 6(1)(b) GDPR); our legitimate interest in answering correspondence (Art. 6(1)(f) GDPR); and, once a contract is concluded, our legal obligations under tax and accounting law (Art. 6(1)(c) GDPR).

Providing this data is voluntary, but without it we cannot respond to your enquiry.

2.2 E-mail and phone contact

If you contact us directly by e-mail or phone, we process the data you provide to handle your request (Art. 6(1)(f) GDPR).

2.3 Website analytics and advertising (only with your consent)

If you consent in the cookie banner, we use Google Analytics 4 to understand how visitors use the Website (e.g. pages visited, approximate location, device type), and Google Ads to measure the effectiveness of our advertising. These tools use cookies and similar identifiers.

Legal basis: your consent (Art. 6(1)(a) GDPR). Without your consent, no analytics or advertising cookies are set. Google may receive only anonymous, cookieless signals through Google Consent Mode. You can change or withdraw your consent at any time via the Cookie Settings link in the footer of every page.

2.4 Embedded YouTube videos (only with your consent)

Some pages contain videos hosted on YouTube (Google). Until then, only a preview image hosted on our own server is shown. A video is loaded only when you click its play button or accept marketing cookies; it is then served in YouTube's privacy-enhanced mode (youtube-nocookie.com). When you play it, YouTube may collect data about your viewing (Art. 6(1)(a) GDPR).

2.5 Technical data and security

When you visit the Website, our hosting provider automatically records technical data in server logs, such as your IP address, browser type, date and time of the request and the requested page. We use this data to operate the Website and protect it against misuse and attacks (legitimate interest, Art. 6(1)(f) GDPR).

3. Cookies

We use essential cookies required for the Website to work (e.g. to remember the contents of your rental cart and your cookie choices) and, only with your consent, statistics and marketing cookies. A detailed list of cookies, their purposes and lifetimes is available in our Cookie Policy.

4. Recipients of your data

We share personal data only with service providers who help us run our business and who process data on our behalf under data processing agreements:

  • cyber_Folks S.A. (Poland) – website hosting;
  • Google Ireland Ltd. – business e-mail (Google Workspace), Google Analytics, Google Ads and YouTube;
  • Cloudflare, Inc. – domain name (DNS) services;
  • accounting, legal and IT service providers, to the extent necessary;
  • transport and logistics partners, if you order delivery of the equipment.

We may also disclose data to public authorities where required by law.

5. Transfers outside the European Economic Area

Some of our providers (Google, Cloudflare) may process data in the United States. Such transfers are based on the European Commission's adequacy decision for the EU–U.S. Data Privacy Framework (for certified companies) or on Standard Contractual Clauses approved by the European Commission.

6. How long we keep your data

  • Enquiries and correspondence: for as long as needed to handle your request, and then for up to [3 years] to protect against possible claims.
  • Contract and invoicing data: for the period required by tax and accounting law (in Poland, generally 5 years from the end of the year in which the tax payment deadline expired).
  • Google Analytics data: 14 months.
  • Consent choices: your cookie preferences are stored in your browser for 30 days.
  • Server logs: according to the hosting provider's retention period.

7. Your rights

You have the right to:

  • access your personal data and receive a copy of it;
  • have your data rectified;
  • have your data erased (“right to be forgotten”);
  • restrict processing;
  • data portability;
  • object to processing based on our legitimate interests;
  • withdraw your consent at any time, without affecting the lawfulness of processing before the withdrawal.

To exercise your rights, contact us at info@rentdeejayequipment.eu.

You also have the right to lodge a complaint with a supervisory authority – in Poland, the President of the Personal Data Protection Office (Prezes Urzędu Ochrony Danych Osobowych, ul. Stawki 2, 00-193 Warsaw, uodo.gov.pl), or the authority in the EU country where you live or work (e.g. in the Netherlands: Autoriteit Persoonsgegevens).

8. Automated decision-making
